AI User Guidelines

At APD, we are committed to delivering powerful and responsible business intelligence and data gathering software solutions that incorporate AI technologies. The following guidelines set out how our AI services may be used, your responsibilities as a user, and our obligations under the EU Artificial Intelligence (AI) Act.


Fair Usage of APD AI Services

To protect the reliability, security, and integrity of our AI services, all users must adhere to the following fair usage principles:

  • Lawful and Responsible Use: You may not use APD’s AI services for unlawful, harmful, misleading, discriminatory, or malicious purposes.
  • Prohibited Content Generation: Users must not employ APD’s AI services to generate, analyse or distribute content that is:
    • Illegal, defamatory, deceptive or fraudulent
    • Hate speech, harassment, discriminatory, or inciting violence
    • Explicit, violent, or sexually exploitative
    • Promoting self-harm, terrorism, radicalisation, or extremism
    • Malware, malicious code, or content intended to disrupt, damage, or gain unauthorised access to systems or data
  • Respect for Intellectual Property: Our AI services must not be used to infringe the copyrights, trademarks, trade secrets, or other legal rights of third parties.
  • No Unauthorised AI Training: You may not use APD’s AI-generated outputs to train, test, or enhance other AI or machine learning models, whether directly or indirectly.
  • Service Protection and System Integrity: Users may not attempt to overload, circumvent, reverse-engineer, manipulate, or degrade APD’s AI systems, including through automated or excessive requests

Violation of these principles may result in suspension or termination of access to APD services.


 Responsibility for AI-Generated Outputs

AI systems may occasionally generate inaccurate, incomplete, or biased outputs. By using APD’s AI services, you agree that:

  • You are responsible for reviewing, validating, and applying AI-generated outputs before relying on them in operational, analytical, or business-critical contexts.
  • APD provides no warranty regarding the accuracy, completeness, or suitability of AI-generated content.
  • You agree to indemnify and hold harmless APD, its affiliates, and its personnel from any claims, losses, or liabilities arising from reliance on, misuse of, or failure to verify AI-generated outputs.

Ethical AI Principles

APD is committed to the ethical development and deployment of AI, ensuring that our solutions are designed and used in ways that respect human rights, dignity, and fairness. Our AI practices are guided by the following principles:

  • Transparency – We clearly communicate when and how AI is being used within our products and services.
  • Human Oversight – Humans retain responsibility and accountability for decisions informed by AI.
  • Fairness and Non-Discrimination – We apply measures to identify and mitigate potential biases in AI models and datasets.
  • Data Protection and Privacy – All AI systems and processing activities adhere to GDPR and relevant EU data-protection laws.

APD’s Obligations under the EU AI Act

The EU AI Act introduces a risk-based regulatory framework for the development and use of AI systems. APD operates as both a Provider and Deployer of low-risk AI systems within the EU and undertakes the following responsibilities:

As a Provider (Low-Risk Systems):
  • We ensure transparency, including clear instructions for use and appropriate user disclosures.
  • We implement quality controls for datasets and models to help reduce bias, error, and unintended behaviours.
  • We maintain technical documentation demonstrating conformity with EU requirements and industry best practices.
As a Deployer (Low-Risk Systems):
  • We disclose AI-generated or AI-manipulated content in public-facing communications where required.
  • We use AI systems only for their intended purpose and within the boundaries defined by the EU AI Act.
  • We ensure that human oversight is maintained and that personnel interacting with AI systems have adequate AI literacy and training.
  • We monitor AI performance, address identified risks, and take corrective measures to mitigate unintended harms or misuse.

APD will continue to review and adapt its AI governance processes to ensure ongoing compliance as the EU AI Act evolves
